Duties & Responsibilities

The Prep Room Coordinator/Multimedia Technician reports to the Prep Room Supervisor and assists with the daily operations of providing audiovisual support services to the Science Center. This position is the first point of client contact for Harvard faculty, staff, and students. The position is responsible for ensuring that all Science Center MTS work is properly scheduled and invoiced and provides guidance and technical recommendations to clients. This position assists with job tracking and equipment inventory.

When available, this position provides technical support for FAS and DCE classes and Science Center events. This technical support includes videography, livestreaming, audio recording and reinforcement, and digital projection.

  • Administrative office tasks – answer inquiries, acquire building access for technicians, redirect phone-calls, order supplies, and submit maintenance work order requests;
  • Coordinate timely job scheduling and billing;
  • Help track jobs, ensure staff are assigned and executed;
  • Track and approve payroll for temps/LHTs and student employees;
  • Assist the Supervisor in the day-to-day operations of the Prep Room and respond to requests for service, client correspondence, and client feedback;
  • At the supervisor’s direction, advise clients on audiovisual support for Science Center events; evaluate the factors surrounding the class or event (type of event, room size, layout, acoustics, lighting, equipment, etc.) and provide guidance for optimal presentation;
  • Make recommendations on audiovisual solutions that best address client needs.

Basic Qualifications

  • At least two years’ experience working in higher education;
  • At least two years’ experience in client service;
  • At least one year of experience with audiovisual technology

Additional Qualifications

  • Bachelor’s degree or equivalent experience preferred;
  • Experience using and supporting video/audio equipment and multimedia systems highly desirable;
  • Excellent technical troubleshooting skills;
  • Ability to successfully coordinate high-profile conferences;
  • Proficiency with FileMaker Pro database or similar database maintenance desirable;
  • Understanding of educational media and technology is highly desirable;
  • Ability to keep abreast of developments;
  • Excellent client service, attendance, and promptness;
  • Demonstrated track record of innovative and creative thinking;
  • Excellent attention to detail;
  • Experience in outreach and partnership building;
  • Ability to work independently, as well as in a team environment;
  • Ability to develop strong relationships with faculty and staff;
  • Flexibility and willingness to work outside of standard hours.
