The Media and Customer Service Coordinator will facilitate the work of the account and media team assigned to a set group of clients. The primary responsibility of the role is to project-manage the activities in order that internal teams produce the work for the client on time and on budget. Developing project plans, timelines and conference reports are daily activities of this position. This position is responsible for all customer service communication. They are responsible for reporting any issues and troubleshooting them as they come in.

The Media and Customer Service Coordinator should become familiar with products and tactical elements of the client’s marketing plan. They should provide organizational assistance to the account team, becoming familiar with client’s names, titles and responsibilities and the custom requirements for each client like Brand Standards, Billing preferences, toll free numbers and other tactical details. When the other account team members are out of office, the Media and Customer Service Coordinator should field requests from the client and keep work moving.

Other core responsibilities include maintenance of weekly status reports, participation in preparation of materials for promotional planning, new business presentations and special projects. The Media and Customer Service Coordinator makes all arrangements for internal team meetings and client meetings; work with AGD and Account Managers to develop estimates; review all work orders before delivering them to traffic; maintain records and billing worksheets; provide word processing, copying and distribution support; prepare timelines in conjunction with the creative team and traffic; and other duties as assigned. Management retains the discretion to add or change the duties of the position at any time.


  • Take customer phone calls and emails and resolve problems in timely manner.
  • Oversee the coordination of projects/workload on an internal basis (and external as required)
  • Maintain status and workflow of assigned projects
  • Improve Client communication skills – work with clients as appropriate and necessary
  • Support and manage billing processes for the team


  • Communication skills are key as a lot of this role requires interaction with vendors and clients outside the company.
  • Conflict resolution.
  • Ability to handle stressful situations while maintaining calm.
  • Computer savvy, familiar with Google Docs, Sheets, etc. and all Microsoft Office applications.
  • Intermediate to advanced understanding and use of Excel.

Preferred Bachelor’s Degree in communication, marketing, media, or business.
